To access a list of radiology review letters, click Radiology Review Letters from the Radiology menu. These letter templates are customized for each site, allowing for the message, details, and logo to be site specific.
To find the desired letter, click Apply with no filter settings to get all readings. To view specific readings select from the following filter options:
- Study - choose a study from the drop down list
- URSI - enter the URSI
- Review Start Date - start date of search date range in "mm/dd/yyyy" format
- Review End Date - end date of search date range in "mm/dd/yyyy" format
- Scan Date - date of scan in "mm/dd/yyyy" format
- Recommendation - select a recommendation from the drop down menu
- Radiology Review Downloaded - indicates if the radiology letter has been downloaded by the participant, allowing study staff to know if reviews with findings have been accessed by the participant from the p2 Homepage.
- Radiology Review Email Sent - indicates if an email notification that a radiology review letter is ready to be downloaded from the p2 Homepage has been sent to the participant
Click Apply to find letters that match your search criteria.
The results will include the following details:
- Scan Date
- Review Date
- URSI
- Study
- Recommendation
- Radiology Review Downloaded
- Date Radiology Review Completed Email Sent
Click Get Letters to generate a PDF of the radiology reviews in your search results.
You will be reminded that these radiology review letters are confidential and that you should only download the letters if you are on an institutionally approved device. You will also be shown how many letters were generated. Right click Right Click and Save Linked File to Retrieve Letter(s) to view the letters or save the generated letters.
Click Get Mail Merge to download a csv list of subjects and addresses to mail the letters. Downloading letters or mail merge list will log user access details to the PHI viewing log. Not all scans will generate a radiology review letters.
Emails notifying participants that a new radiology review is available to be downloaded in from the p2 Homepage can be sent in bulk from this page. Select the check boxes for the notifications you wish to email from the table and click Send Radiology Review Completed Email. If the system attempts to email a participant that does not have an email address on file, the site admin will be notified. If an email bounces it will be listed on the daily bounced email report that MRN Research Operations receives.
If letters from a search are exported, but there are no printable letters included in the search results, you will informed that this is the case. Excluded scans include:
- Phantom Scans
- Scans that lack any anatomical data (functional scan only)
- Non-prison subjects scanned in the last three months
- Scans marked as Read Not Required
